What’s involved with this role:
Information Management:
Collate and produce reports, including confidential and sensitive information
Updating manual and computerised records and databases
Collate information for internal and external resources
Document Management:
Filing/indexing/archiving
Maintain electronic and manual filing systems
Sort post and make deliveries
Proof reading leaflets, posters and other documents
Meeting Support/Administration:
Taking notes at meetings, producing and circulating/minute taking
Book appointments and schedule events for officer and resource diaries
Document Production:
Type to produce letters, reports, forms and other documents, create emails for a wider audience
Photocopying/scanning
Customer Enquiries:
Handling customer enquiries (both internal and external), providing advice and guidance on council policy and procedure
Telephone answering and message taking
Provide support guidance and advice to the customer service centre
General Support:
Organise visitor hospitality
Research both internally and externally with other local authorities and agencies
Research venues, booking rooms, organising facilities for meetings
Project based administrative support, arranging meetings, organise agendas, and follow up actions and documentation
Provide administrative support to staff within assigned team
Advice and guidance:
Provide advice and guidance to managers and staff on process and procedures
Data Process and Systems input:
Approving purchase orders, receipting goods
Recall/call off pre-written reports from automated systems

UK working experience
Availability to work – CV should state either immediate or at short notice
Minimum of 12 months recent business/application support/administration experience, preferably within a similar role and ideally within a public sector organisation
Microsoft Office skills

Any relevant qualifications held or being studied for

Anticipated Length of Assignment: All of our roles are designated temporary, though in practice we find that the vast majority of them get extended on a multiple/long term basis. This one is expected to be for 1-2 months, initially.
Hours per week: 16 Monday – Friday, days & hours tbc
