    On behalf of our Newmarket based client, we are looking for an OPERATIONS/OFFICE CO-ORDINATOR to join the team. Your role will be to manage the organisation’s internal systems and processes and the distribution and high-level allocation of work, with the support of the Directors and the assistance of the Company Receptionist/ PA and Office Assistant(s). We are looking for an experienced ‘Manager’ as this role requires someone with exceptional ‘People Management’ skills. Your leadership skills will be key to this role as will effective communication, in whatever format you believe appropriate - you will be dealing with people of all abilities, ages and attitudes! An overview of your duties and responsibilities is as follows:


    OFFICE PROCESS DESIGN AND IMPLEMENTATION

    • Design and implement office processes to support the company service proposition. This will include defining, developing and maintaining the employee and IT system requirements for installing a new client, reviewing all existing clients at least annually, general administration, an overview of the discretionary fund management functions and client billing


    RECRUITMENT

    The role will require the coordination of all recruitment. This will include overseeing:

    • The agreement of all job descriptions and specification of the type of employee required

    • Negotiation with external recruitment agencies/preparation of advertisements

    • Screening replies

    • Co-interviewing candidates

    • All associated administration - including checks on references


    REGULATORY & FINANCIAL MANAGEMENT

    • Compliance within the firm is treated as a proactive management tool. A monthly meeting is planned to identify and respond to regulatory issues, unless matters need addressing more urgently. The role may require the preparation and presentation of management information.

    • Management of the internal compliance function, to include ensuring that all Compliance Records & Registers are properly maintained and any required reports are produced within the correct timeframe, in association with the “external” Compliance Officer


    TRAINING & COMPETANCE

    • In conjunction with the Directors, and in line with compliance procedures, the work will include the identification and implementation of training and development programs for all members of the team

    • Ensuring that all staff members possess an appropriate level of technical ability and professional qualifications in order that an effective and high quality service can be provided to clients

    Following selection, there will be an additional responsibility to ensure the satisfactory completion of an induction programme by new employees, using other staff as their experience/ knowledge suggests


    PROJECT MANAGEMENT

    • Develop and implement marketing strategies and client feedback programmes

    • Continue to develop a paperless office system


    We are ideally looking for someone that has:


    • Excellent abilities in the areas of staff management, assessment (recruitment) and development

    • The versatility, experience and ability to be both a team player and a team co-ordinator

    • Excellent written and oral communication skills

    • Working knowledge of financial services processes (knowledge of the 1st Software System a huge advantage!)

    • Strength of character and the flexibility to manage a diverse group of people, whilst enjoying a pivotal position between the Directors and staff


    In addition you must be:


    • Confident in dealing with people

    • Highly innovative and pro-active

    • Able to take responsibility and work well under pressure, prioritising effectively and able to meet deadlines

    • Numerate to a good standard

    • Computer literate

    • Dynamic yet personable
